Overview

 

A reversal is used to correct an erroneous transmission.  By rule, the exact amount of the erroneous transaction must be reversed. A second transaction must then be originated for the correct amount.

 

Important

 

Never reverse just enough to make the original transaction correct.  Reverse the entire original transaction and resubmit the correct transaction.

 

Enter the opposite debit/credit type as the original transaction.  If the erroneous transaction was submitted as a debit, you must create the reversal as a credit and vice-versa.  Failure to do so will cause the reversal to not be processed correctly by your bank.

 

Creating a reversal

 

From the main menu, select Edit, then Add Record(s).  The New Record screen will be displayed (Figure 1 below).  This is the exact same screen used to add a transactional record.

To create a reversal, click the Reversal link.  A dialog box will be displayed, click Yes.  Figure 2 (below) will be displayed inside the New Record screen.

To create a record as a reversal, enable the checkbox.  Then fill out the rest of the fields with the appropriate information as outlined below.

 

Basic Information

 

All fields are required.

 

Application

Select the Standard Entry Class Code you wish to use for this transaction.  In this case, CCD is selected for a reversal of a transaction made to another company.

Date

Select the date the requested processing date.  Note: You cannot force a same-day transaction by using the current date. Contact your bank for their exactly time frame.

Debit/Credit

Select the opposite of the erroneous transaction.  If a transaction was sent as a debit, select credit in this box and vice-versa.  If you do not use the opposite, the reversal will not succeed as there is no valid transaction to be reversed.

Payment

Enter the same amount as the original transaction as a positive number.

 

Advanced Information

 

If you used a profile for the original transaction and wish to use a profile for the reversal (see Am I Using Profiles?), click the first radio button and select the profile from the dropdown box.

 

If you are not using profiles or wish to enter the reversal manually, click the second radio button.  Then, enter the appropriate information. All fields are required with the exception of Addenda Record.

 

Account #

Other party's bank account number

Routing/ABA #

Other party's bank ABA/Routing number

Internal name

Other party's name

Internal ID

An identifier for the other party, such as vendor ID

Account Type

Checking or Savings

Addenda Record

Optional addenda record.  Maximum length of 80 characters.

 

When finished click OK.  You must then create and transmit the ACH file for the reversal to be processed.
