Overview

 

Profiles are best imported as a file because by definition, there will be a fairly substantial quantity of them.  Follow the steps below to manually enter a profile.  This is usually only done if a profile is needed immediately and entering the profile into a file and then importing the file actually takes longer than the manual entry.

 

Profiles are retained by ACH Universal so they only need to be imported or added one time to make them available.

 

Manual entry

 

From the main menu, select Edit, then Add/Edit Profile(s) - Customers, Employees, and Vendors.

 

Click the Report Creator - Add record button button on the toolbar.  The Add/Edit Customers, Employees, and Vendors screen will be displayed (Figure 1 below).

Required Information

 

Enter all information into these fields.  The information corresponds to that of the individual or organization needing the profile.

 

All this information is required because it allows for the profile to be linked to a transaction (through name or ID), and it supplies the account information for the transaction.

 

Additional Information

 

Checking or Savings identifies the type of account the other party has.

 

Email is necessary if you are using notifications to inform them of an impending debit or credit to their account.

 

Application specifies the Standard Entry Class Code that will be used by default for this profile.  PPD (for individuals) and CCD (for corporations) are the most often used, as they indicate prearranged payments or collections. See List of Standard Entry Class Codes for information on all available options.

 

Origination is needed if you are using Multiple Origination Accounts to create transactions on behalf of multiple other parties.  By entering the Origination account into the profile, all profiles can be grouped by the appropriate origination account.

 

ID Type, ID Number, and Batch Description are only used for CTX transactions

 

Mark Profile as Active

 

Profiles imported or entered into ACH Universal are retained for future use.  If a profile is no longer needed, it is possible to delete the profile but in most cases it is best to mark the profile as inactive by clearing the Active checkbox.  This prevents the profile from being used until it is reactivated, but the profile information is retained in ACH Universal in case it is ever needed.

 

When finished, click Save.  The profile is now saved and able to be used.
