Migrating data to a new SQL database



When migrating from desktop to SQL Express, or from SQL Express to SQL Server - you will want to start with a new account/database, and then migrate any open items.

Note: Contrary to the title of this page, you can use these instructions in moving from/to any database.

Please print these instructions before continuing.


Do NOT uninstall the desktop (old) edition.



On the machine with the old version
1. Export data from the old edition
Start the old edition.
--a. From each account, run the 'Unmatched Items thru current' report.
--b. Filter the results for G/L, and then save report results to either an Excel or csv file by accessing 'Export' on the report menu.
--c. Repeat the above step foryour Bank data.
If unsure how to filter records, save all the records into one Excel spreadsheet. Then use Excel to sort and split the records into two Excel worksheets.

Note: If you are running Reconciliation reports, do not export data during the middle of a period. Wait until you have imported all of the records for a period. As an example, if you are on monthly periods and it is the middle of January - wait until you import all of January's data.



On the machine that will have the new SQL Express/Server edition
2. Follow the instructions for a new installation of the new SQL Express or SQL Server on:

Note: Of course, if you have already set this up, skip to #3.

3. Create additional accounts
Make sure that you create an account on the new SQL Express/Server for each account that you currently have on the desktop edition. Create the accounts by selecting from the main menu File > New Accounts > Create.


4. Periods vs. months - and other settings
If you are using months, you are all set. Otherwise, please import your periods now (Import > Periods).
Also, compare and confirm any changes that you may have made to the options (File > Options) in the old system and carryover to the new one.


5. Import data on the new system

--a. On the new system, start the G/L Import Wizard and import the G/L data saved in step 1 above.
You only need to map: Date, Check Number, Amount and Description.

Note: You do not need to map all of the fields in the file. There will be more fields in the import file than those described in the line above.

--b. Repeat the above step for Bank results using the Bank Import Wizard if there are unmatched bank items.



6. Import a full month's (period's) data.
Import the following month's data - for both Bank and G/L.

As in the above example, you imported all of your historical data through January 31st. Now import your Bank and G/L data for February. For reconciliation purposes in this new account - February will be your first period. You will be prompted for both beginning and ending balances for the Bank and G/L.



Congratulations

You can now continue with using the system for the next period.

If you are running Reconciliation Reports within bank reconciliation:
--delete in the new (target) account any system entries - either 'Reserve' or 'Balancing' entries
--you will be prompted to run the reconciliation wizard for the first period when you run your first reconciliation.
Choose the first period that you will have full sets of data - ie. both Bank and G/L - in the new (target) account.


What about my old data?
You can continue to access your existing data using your existing software. Starting with version 2010, you can run multiple versions on the same workstation.

For example - you can install version 2010 on your workstation, even if version 9.50.3 is already installed. Use the older version to access historical records for research. Use the new system for all work going forward.
